Privacy and accessibility — built into how we run

Your personal health information is handled per Ontario's Personal Health Information Protection Act (PHIPA). Our practice is fully wheelchair accessible and we regularly treat patients with mobility needs from surrounding elderly homes. Both are part of being a practice that takes care of everyone in our community.

Privacy of your health information

PHIPA-compliant handling, in plain language

Privacy. Your personal health information at Suncoast is governed by Ontario's Personal Health Information Protection Act (PHIPA). In practice, that means: we collect only the information we need for your care; we store it securely on practice systems; only people involved in your care access it; we don't sell or share it without your written authorization (with limited statutory exceptions such as reporting required by law or coordinating with other treating providers); and you have the right to access your own records and request corrections.

If you'd like a copy of your dental records, request it at reception or by email — there's typically no fee for your first request, and we provide records in a reasonable timeframe. If you have a privacy concern or believe your information has been mishandled, contact our privacy officer at the practice; we take privacy complaints seriously. You can also escalate concerns to the Office of the Information and Privacy Commissioner of Ontario if needed.

Online tracking. Our website uses standard analytics to understand how visitors find and use the site (page views, basic traffic patterns). We don't collect personal health information through the website unless you specifically submit it in a form. Online appointment requests and contact forms are stored securely and used only to respond to your inquiry.

Accessibility in practice

Built for patients of every mobility and ability

Our building is fully wheelchair accessible — step-free entrance, wide hallways, accessible washrooms, and treatment rooms sized for wheelchair transfer. We regularly treat patients in wheelchairs from local elderly homes, and we have the equipment and experience for safe transfers when patients need help getting into the dental chair. If you can stay in your wheelchair for treatment (often possible for shorter procedures), we accommodate that too.

Beyond physical accessibility, we adapt to patient needs in other ways. Patients with hearing impairment can request quieter rooms and clearer communication; we're happy to write things down or use a tablet for back-and-forth where it helps. Patients with cognitive differences or sensory sensitivities get patient-paced appointments with breaks as needed and minimal sensory load (no overhead lights when avoidable, quieter equipment where possible). For patients with limited mobility who can't easily come to the practice, we coordinate with local elderly homes and caregivers to make visits work.

On-site general anesthesia is also part of accessibility. Patients who can't tolerate awake dental treatment for medical or cognitive reasons — patients who would otherwise need a hospital admission to get dental work done — can have GA at our practice. The same applies to severely anxious patients for whom awake treatment isn't viable. Accessibility isn't just about ramps; it's about meeting patients where they are.

Yes. Our reception, hallways, treatment rooms, and washrooms are all wheelchair accessible. We regularly treat patients in wheelchairs from surrounding elderly homes. If you have specific accessibility needs, mention them when you book so we can prepare the right room and equipment.
Yes. Family members, caregivers, support persons, or translators are welcome to attend appointments with you when you'd like the support. For sedation cases, we require someone to drive you home and stay with you for the first 24 hours afterward.
